Four different products get compared to us
"Client onboarding" is used by four categories of software that barely compete with each other, and picking the wrong category costs more than picking the wrong vendor inside it. The comparisons above sort into these groups:
- Onboarding and implementation platforms — GuideCX, OnRamp, Rocketlane, Arrows. Built for teams with dedicated onboarding managers and a CRM underneath. Powerful, sales-led pricing, and generally overkill under about ten staff.
- Client portals and all-in-ones — SuiteDash, Hubflo, Moxo, Dubsado, Dock. Broad, configurable, and login-gated for your client. The trade is setup time and the friction of asking a client to create an account.
- Document collection tools — Content Snare, Service Provider Pro. Excellent at chasing files. They don't track the proposal that came first.
- General platforms you build on — Airtable, Zoho, Teamwork, Accelo, Assembly. Maximum flexibility, no onboarding flow out of the box. You are buying the ingredients, not the meal.
OnboardHive sits deliberately in none of those: it is the proposal-to-onboarded stretch only, with one tracked link per client and no client account at any point. If you need resourcing, timesheets, invoicing or a CRM, a tool above beats us and its comparison page says so in as many words.
What to check before you commit
Five questions separate these tools in practice, and every comparison answers all five: does the client have to create an account; is the proposal tracked (opens and real read-time) or only the onboarding; is pricing flat or per seat; can you see the specific step a client is stuck on rather than a percentage; and how long does setup actually take before you can send the first link.
Prices in this category change without announcement, so each page links the vendor's own pricing page. If a number here is out of date, tell us and it gets fixed — including when the correction favours a competitor.
